- Program: will anyone speak? Is there a slideshow? A toast? A prayer before the meal?
- Budget per head, including tea, coffee, and dessert.
- Who signs off, and whether you need a W-9, a formal quote, or a purchase order.
Choosing the room
If there is a program of any kind, book a full restaurant buyout. Speeches over the noise of a public dining room never work, and a private room lets you control the volume, the lighting, and the timing. For a team lunch or a smaller dinner with no program, a reserved section is faster to book and easier on the budget. Dietary coverage without a spreadsheet

- Parking: free on site — worth stating in the invitation.
